Purpose:
At Tales & Hooves Mobile Petting Zoo Inc., the safety and well-being of both our participants and livestock are our top priority. To ensure the safety of all involved, this Inclement Weather Policy outlines the circumstances under which our services may be altered or canceled due to adverse weather conditions.
Scope:
This policy applies to all scheduled mobile petting zoo events and services provided by Tales & Hooves Mobile Petting Zoo Inc., including but not limited to birthday parties, community events, and private bookings.
1. Inclement Weather Conditions
Inclement weather includes but is not limited to:
Rain (including light or heavy showers)
Thunderstorms
High Winds
Snow
Extreme Temperatures
Severe Weather Warnings (such as hurricanes, tornadoes, etc.)
Tales & Hooves Mobile Petting Zoo Inc. reserves the right to cancel or reschedule any event when weather conditions are deemed unsafe for either the participants or livestock.
2. Decision to Cancel or Postpone
The decision to cancel or postpone an event due to inclement weather will be made by the event coordinator of Tales & Hooves Mobile Petting Zoo Inc. The decision will be made in consultation with the client at least 6 hours prior to the event's scheduled start time, whenever possible, to allow adequate time for preparation or rescheduling.
3. Safety Considerations
Livestock Safety: Our animals’ well-being is a priority. In wet, windy, or extreme temperature conditions, it is unsafe for them to participate in outdoor events.
Participant Safety: Wet or slippery surfaces increase the risk of accidents. Additionally, animals may be more unpredictable in adverse weather, which could lead to injury or discomfort.
Venue Conditions: In case of heavy rain, the terrain may become muddy and slippery, which can create hazardous conditions for both participants and staff.
4. Rescheduling and Cancellations
Rescheduling: If an event is canceled due to inclement weather, we will work with the client to find an alternative date for the event, subject to availability. The rescheduled event will be offered at no additional charge.
Cancellations by Clients: If the client chooses to cancel the event for any reason unrelated to weather (e.g., a change of plans), the standard cancellation policy will apply, and a refund may be provided based on the terms agreed upon at booking.
No Refunds for Inclement Weather: In the event that the petting zoo service is canceled due to inclement weather, no refund will be issued. Clients will instead be offered an opportunity to reschedule the event for a later date.
5. Communication and Updates
Clients will be notified as early as possible if weather conditions are expected to affect the scheduled event. Communication will occur via phone call and email.
In cases of ongoing or unexpected weather changes, Tales & Hooves Mobile Petting Zoo Inc. will keep clients informed through regular updates.
6. Client Responsibilities
The client is encouraged to monitor weather conditions and notify Tales & Hooves Mobile Petting Zoo Inc. of any concerns prior to the event.
In the event of adverse weather conditions at the venue on the day of the event, it is the client’s responsibility to inform the petting zoo team of any safety concerns or hazardous conditions at the site.
